File & Document Tracking with RFID

Physical and Digital Records, the Best of Both Worlds.

With the recent passing of Senator Richard Lugar of Indiana, the office staff at his family’s business were interviewed by a local newspaper. To many the response was just another testimonial to the man’s reputation as a cross-aisle peacemaker and all around great fellow. But, those in the secretarial and asset tracking world may have gleaned a bit more from the story than the casual reader.

The staff at the family firm shared an anecdote of how “just call Dick” was a common rejoinder to the question of “Has anyone seen such-and-such file? I can’t seem to find it anywhere!?!” Just call Dick. As the story was told in The Indianapolis Star, Senator Lugar — decades departed from the “family store” back home — would pickup up the phone and offer uncannily accurate directions. “Oh, the Curtis file from 1971. Open the top-center file cabinet; it should be near the back. Look for the folder with the red label,” or something along those lines, said in his nasally Midwestern accent.

Wouldn't it be great if every office had a Richard Luger they could call when an important document or file is seemingly lost and needs to be retrieved?

Even in an age where digital documents can be easily created and transferred, there are still some industries that require paper copies due to compliance objectives or the nature of their work. In today’s technology-driven age there is a high demand for digital images of records. But, there is still a very real need to keep physical files. For example, many law offices and medical offices keep physical client and patient files, but they also need a way to quickly view portions of the file without sifting through the filing cabinet. The solution is EnaSys Express with Linked Assets.

EnaSys Simplifies the Process

EnaSys Express makes it easy for medical practices, law firms, and other organizations to track files and documents with RFID technology. It’s the best of both worlds. With EnaSys Express you can maintain file of hard copies, yet have the flexibility and immediacy of digital data retrieval.

EnaSys Express with Linked Assets is the best of both worlds. This software application allows one user to check out a physical file, while still allowing other users to view any digital portion of the file. While one doctor or lawyer has the physical file, they can collaborate with another colleague without needing to bring the file to another location.

In addition to the Linked Assets and Check Out feature, MasterTrak has a built-in auditing system. Files are checked in and checked out by many different users, and some don’t always return them where they need to go.  EnaSys Express helps resolve that issue by utilizing the auditing portion of the software. The file manager can select the zone in MasterTrak they wish to audit, and then just scan away! MasterTrak works with both RFID tags and barcodes, so the user can be sure that all files have been entered. Once the files in that area have been scanned, simply clicking the audit button will sort all of the records into different columns: Non-Enrolled Items, Verified, Extra, and Missing. This can greatly reduce the amount of time it takes to locate a missing record, and be sure that all records are in their proper location.

EnaSys Express with Linked Assets can be utilized across many different business applications including medical offices, law offices, government agencies, and many more.
