When the Bureau of Land Management Calls

EnaSys was recently approached by the Bureau of Land Management for a very unique type of project. At the BLM’s records room in Santa Fe, New Mexico, there are thousands of historical documents and land deeds — many of which are old and fragile. On one hand, the BLM needs to secure these high-value, original documents, while at the same time ensuring these documents are accessible to the public. A situation as unique as this requires a unique solution, or rather, an EnaSys solution. So, when the Bureau of Land Management called, we were more than happy to assist.

To ensure the BLM’s valuable records do not “walk out the door,” the EnaSys team recommended placing RFID tags on the folders and EnaSys Portal readers at every exit. With this system in place, any record that leaves the area can be wirelessly scanned and documented.

Internal Process Improvements

In addition to using EnaSys in the public rooms, BLM has incorporated EnaSys internally. Our asset tracking technology and software has a check-in/check-out function. This allows assets to be tagged and logged whenever an employee or division representative checks in (and out) these items.

This new system replaces an old, outdated method of manually filling out checkout cards that were easily lost and prone to errors. Now, all they have to do is grab their document and scan it at a kiosk before heading back to their respective work areas.

Portable RFID Scanners

The records team is also able to use RFID portable scanner to locate missing items, or items that were not returned. By setting the scanner to “find” mode, the team can walk through work areas with little to no interruption to their fellow coworkers and scan the area for the missing record. Our scanners come with a range finder to determine how close or how far the record is once the tag is read. This also allows the team to perform check-outs in each area to ensure records are only checked out to the correct people.

The Bureau of Land Management is just getting started with EnaSys and RFID asset tracking, but they’re excited about the time and money they’ll save, not to mention the preservation and safeguarding of precious documents, some of which are over 100 years old!
